1. SCOPE OF THIS PRIVACY POLICY

This Privacy Policy describes how Ashwal Health Communication, operating the PrepFolder brand ("we," "us," or "our"), collects, uses, and shares personal information through PrepFolder.com, inquiries about our professional services, newsletters, free resources, GIF customization tools, and related communications and services (collectively, the "Services").

Our primary professional service is reviewing, rewriting, and redesigning bowel preparation instructions for healthcare organizations. We also provide educational resources, examples, templates, videos, and GIFs.

This Policy does not govern information that a clinic or other healthcare organization independently collects, stores, or sends through its own systems.

2. INFORMATION YOU PROVIDE TO US

We may collect information you provide when you:

  • contact us with a question, request, or feedback;
  • request a free review or information about our services;
  • enter into or discuss a professional-services engagement;
  • provide project files, instructions, comments, or other materials;
  • subscribe to our newsletter; or
  • otherwise communicate with us.

This information may include your name, email address, telephone number, organization name, organization address, job title, billing contact information, project requirements, and the contents of communications and materials you send to us.

If you subscribe to our newsletter, your email address and related subscription information may be stored by our email marketing provider, EmailOctopus .

3. PROFESSIONAL-SERVICES AND PROJECT MATERIALS

In connection with a potential or active project, you may provide existing bowel preparation instructions, website links, logos, brand materials, clinical or operational requirements, staff contact information, comments, and revision feedback.

We use project materials to evaluate an inquiry, prepare a proposal, perform the agreed services, communicate with you, administer the project, maintain business records, and protect our legal rights. Additional confidentiality, ownership, retention, or deletion terms may be included in a proposal, statement of work, or other written agreement for the project.

You are responsible for ensuring that you have the right to provide project materials to us.

4. PAYMENT INFORMATION

We may use Stripe or another payment processor to collect deposits, project fees, or payments for digital products or services. When you use a third-party payment page, the payment processor collects information needed to process the transaction, which may include your name, email address, billing address, payment-card or bank information, and technical information about the transaction.

We may receive transaction information such as your name, email address, organization or billing details, payment status, invoices, payment method type, and limited payment information such as the last four digits of a card. We do not directly receive or store your complete payment-card number.

Stripe processes personal information under its own privacy terms. You can review information about Stripe's privacy practices in the Stripe Privacy Policy .

5. INFORMATION COLLECTED AUTOMATICALLY

When you visit or use the Services, our hosting, security, and DNS providers may automatically collect technical information such as your Internet Protocol address, browser type, device type, operating system, requested pages, referring page, date and time of access, and information used to detect errors, abuse, or security threats.

Our web host and DNS provider, Cloudflare , may process this information to deliver, protect, and maintain the Services.

6. GIF CUSTOMIZATION TOOLS

The current GIF customization tools are designed to operate without requiring patient names, contact information, medical record numbers, or other protected health information. Information entered into a customization tool may be processed locally in your browser rather than sent to us.

Do not enter patient-identifying information into a GIF customization tool.

7. PDF UPLOADS AND AUTOMATED DOCUMENT REVIEWS

PrepFolder does not currently offer a public automated PDF upload and instruction-review tool. We may add such a tool in the future. Before collecting uploaded documents through that tool, we will update this Privacy Policy to describe what is collected, how files are processed, whether third-party services are used, and how long uploaded files, extracted text, and generated reports are retained.

8. PROTECTED HEALTH INFORMATION

Do not upload, enter, email, or otherwise provide patient names, dates of birth, medical record numbers, appointment details, or other protected health information ("PHI") through the Site or to us unless we have expressly agreed in a separate written agreement to receive it.

Our ordinary website, free resources, GIF tools, inquiry process, and professional instruction-review services are not offered on the basis that we will receive PHI or act as your business associate under HIPAA. If a proposed engagement would require us to receive or maintain PHI, the parties must address that requirement in writing before the information is provided.

9. HOW WE USE PERSONAL INFORMATION

We may use personal information to:

  • provide, maintain, secure, and improve the Services;
  • evaluate inquiries and prepare proposals;
  • perform professional-services engagements;
  • process payments, invoices, refunds, and related records;
  • respond to questions, requests, and feedback;
  • send project, transaction, security, and policy communications;
  • send newsletters or marketing communications when permitted;
  • conduct research, product development, or business outreach;
  • detect, investigate, and prevent fraud, misuse, and security incidents;
  • enforce our Terms of Use and other agreements; and
  • comply with legal, tax, accounting, and regulatory obligations.

10. HOW WE SHARE PERSONAL INFORMATION

We may share personal information:

  • with service providers that help us operate the Services, process payments, host data, deliver email, provide security, or support our business;
  • with contractors or collaborators who assist with a project, subject to appropriate obligations;

We do not sell personal information for money. We do not share personal information with third parties for their own targeted advertising.

11. NEWSLETTERS AND MARKETING COMMUNICATIONS

You may unsubscribe from an email newsletter at any time by clicking the unsubscribe link in the message or by emailing privacy@prepfolder.com.

Even if you opt out of marketing messages, we may continue to send non-marketing communications about an inquiry, active project, transaction, security matter, or changes to our Services or policies.

12. DATA RETENTION

We retain personal information and project materials for as long as reasonably necessary to respond to inquiries, perform services, administer projects and transactions, resolve disputes, enforce agreements, and satisfy legal, tax, accounting, security, and recordkeeping requirements.

Newsletter information may be retained until you unsubscribe. Transaction and project records may be retained after a project ends when needed for legitimate business or legal purposes. Information may remain in backups for an additional period before it is deleted or overwritten.

13. DATA SECURITY

We use reasonable administrative, technical, and organizational measures intended to protect personal information and project materials. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

14. YOUR PRIVACY CHOICES

You may ask us to access, correct, or delete personal information we maintain about you by emailing privacy@prepfolder.com. We may need to verify your identity and may retain information when permitted or required by law.

Depending on where you reside and applicable law, you may have additional privacy rights. We will respond to applicable requests as required by law.

15. CHILDREN'S PRIVACY

The Services are intended for healthcare organizations and adults acting in a professional capacity. They are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13.

16. UNITED STATES OPERATIONS

The Services are operated from and hosted in the United States. If you access them from another country, your information may be processed in the United States, where privacy laws may differ from those in your location.

17. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy as our Services change. We will post the revised Policy on this page and update the date above. When required by law, we will provide additional notice of material changes.
